Action Required (AR) by:

1. To discuss on team work: Currently, the full-time members are

not performing as expected. There has been a conflict in getting things done as everyone has an opinion but none wants to get to the core and get things going.

 Suggested alternatives to curb this problem:

      -         Select a more experienced project team lead.

-         Communicate with the team members clearly the objectives of the project and the importance of making the project a success.

-         Have frequent meetings if necessary to get weekly or bi-weekly updates on the status of the progress.

-         Assign members in smaller groups between two and three members to make communication more effective for the benefit of the project.

-         Take interest in what each and every member has to say and suggests possible solutions during the meeting so as to address the problem immediately instead of delaying it and later ignoring the problem.

-         Create a great place to work; encourage team members to go for lunches or dinners together and be more sociable in order to understand one another better.

2. Lack of understanding on the underlying principles of Six Sigma: None of the full-time members have concrete understanding of Six Sigma which is crucial in executing the project.

 Suggested alternatives to curb this problem:

      -         Determine the root of the problem; where the team members’  

           understanding of Six Sigma fails.

-         Provide personalized training to members for over a week to help them clear any doubts that may arise.

-         Based on the Six Sigma process, focus on the broader goals of the project initially, and then narrowing down the focus to specific details.

3. Pointless Six Sigma training: Despite being provided with five-day training on Six Sigma and its underlying principles, all members still carry a vague idea on how Six Sigma works.

Suggested alternatives to curb this problem: 

-         Make the online Six Sigma website more appealing and have easier navigation. In addition to that, update the website frequently to provide up-to-date information to the members.

-         Create a “Frequently Asked Questions” (FAQs) section on the website that answers common problems.

-         Create a clear communication channel whereby members can get assistance from qualified Six Sigma trainers, in the absence of Kevin.

-         Educate the members on the importance of applying Six Sigma to the project and highlight a few successful projects executed using the Six Sigma process.

4. Do not believe in documenting the work in an orderly manner: All team members are under the impression that all of the paper work and number crunching is a waste of time.

 Suggested alternatives to curb this problem: 

-         Emphasis on the importance of paperwork; documenting one’s work is crucial as people tend to forget important things that were discussed in a meeting.

-         Keeping track of the schedule is very easy when there is some sort of documentation.

-         Documenting will provide all the detailed steps that were undertaken in executing the project. Thus, in the event a team member leaves and a new one joins, the new member can almost immediately continue with the project as he or she will have the basic idea of what needs to be done.
